GuestCentrix GHub User Guide

How to sign in to G-Hub and use it day to day: arrivals, check-in, in-house guests, departures, housekeeping, repairs and maintenance, and availability.

Version 7.4.2Updated 9 October 202612 min read

Introduction

GuestCentrix G-Hub is the browser-based companion to the GuestCentrix property management system. It gives front office and housekeeping teams quick access to the day's guests, rooms and forecasts from a desktop, tablet or phone, without opening the full PMS.

G-Hub reads and updates the same data as GuestCentrix. A room marked clean in G-Hub is clean in the PMS, and a guest checked in at the front desk appears straight away on the housekeeping screens.

Who this guide is for

This guide is for hotel staff who use G-Hub every day: receptionists, duty managers, housekeeping supervisors and room attendants. It walks through each screen in the order it appears in the menu.

About the screenshots

The screenshots in this guide were taken in Demo mode, which shows sample data for a fictional property. Names, rooms, rates and figures are examples only. Your screens show your own property's data and may include your property's logo.

What you need

Modules

Some G-Hub functions need an additional GuestCentrix module to be licensed at your property:

Module

Required for

GuestCentrix HKeep

All Housekeeping functions: the housekeeping board, My Allocated Rooms, Allocate Attendants, Attendant Progress, Special Requests, Arrivals & Departures, Audit Trail and Room Setup.

GuestCentrix Repairs & Maintenance

All Repairs & Maintenance functions: the Maintenance screen and reporting a maintenance issue from the housekeeping board.

If your property does not have a module, the related screens and buttons are not available. Contact CMS Hospitality to add a module.

Note: The menu options you see depend on the permissions your system administrator has given you. If a screen in this guide is missing from your menu, ask your administrator.

Signing in

Logging in

Open the G-Hub web address in your browser. The login screen appears.

The G-Hub login screen
The G-Hub login screen
Figure 1 – The G-Hub login screen
  1. Enter your Username and Password.
  2. Tick Remember me on this device if you want G-Hub to remember your user name on this computer or phone. Do not tick it on a shared device.
  3. Select Login.

If your property uses two-factor authentication, G-Hub asks for a security code next (see Two-factor authentication below). Otherwise the G-Hub start page opens.

The Light, Dark and Contrast buttons below the login form change how G-Hub looks on this device. Your choice is remembered for next time.

Two-factor authentication

Two-factor authentication adds a second check when you log in: as well as your password, you enter a six-digit code from an authenticator app on your phone, such as Google Authenticator or Authy. Your system administrator decides whether it is switched on for your property.

Registering your phone (first login only)

The first time you log in with two-factor authentication switched on, G-Hub shows a QR code to link your authenticator app to your account.

Registering Google Authenticator

Figure 2 – Registering Google Authenticator
  1. Open the authenticator app on your phone and choose to add an account.
  2. Scan the QR code shown on the screen.
  3. Enter the six-digit code the app now shows in Enter Token.
  4. Select Register User.

Note: Your QR code is personal to your account. Do not share it or take a photo of it.

Entering your security code

Each time you log in after that, G-Hub asks for the current code from your authenticator app.

Entering the security code
Entering the security code
Figure 3 – Entering the security code
  1. Open the authenticator app on your phone.
  2. Type the six-digit code for G-Hub into the token box.
  3. Select Verify Token.

You must enter the code within 3 minutes of logging in. Codes change every 30 seconds, so if a code is refused, wait for the next one and try again. Select Back to Login to start again with a different user.

Demo mode

Demo mode lets you explore G-Hub with sample data, without a user account. Nothing you do in Demo mode changes real data.

  1. On the login screen, switch on Demo mode in the bottom right-hand corner. The demo user name and password are filled in for you.
  2. Select Login. G-Hub opens with an orange DEMO MODE banner across the top of every screen.
  3. To leave, open the user menu (top right) and select Exit Demo.

Finding your way around

Every G-Hub screen has the same layout: the menu on the left, the screen title and content in the middle, and the property details at the top right.

Searching lists

Most lists have a Search box at the top. Start typing a guest name, room number, folio number or voucher and the list filters as you type.

Housekeeping

Note: The Housekeeping functions require the GuestCentrix HKeep module.

The housekeeping screens share a row of tabs at the top, so you can move between them quickly: Board, Special Requests, Allocate Attendants, Attendant Progress, Maintenance, Arrivals & Departures, Audit Trail and Room Setup.

Note: If the connection drops, G-Hub holds your changes on the device and sends them as soon as it is back online.

My Allocated Rooms

My Allocated Rooms is the room attendant's view. It shows only the rooms allocated to you today, with a progress bar and a count of rooms at each status.
